Information we collect

Information you give us

When you request a consultation, you give us your name, phone number, email address and property address. You can also give us the name of your real estate agent and a message.

When you scan a Priority Access card

When you scan the QR code on a real estate agent's Priority Access card, we record:

• which agent's card was scanned, and the date and time;
• the technical description your browser sends automatically (its “user agent”), which we store with the scan and use to identify your type of device (phone, tablet or computer), operating system and browser;
• your approximate city, region and country, which our hosting provider estimates from your network (IP) address; and
• a random visitor identifier, also saved in the pa_vid cookie described below. If you later send a consultation request from the same browser, we store this identifier with your request, which links your request to your earlier scans.

We do not store IP addresses in our database, and we do not ask for your precise location. If you arrived by scanning an agent's card, or by a link that contains an agent's referral code, the consultation form shows “Referred by” followed by that agent's name, and keeps showing it in this browser for up to 90 days. We record which agent's card or link brought you to us with any request you send, together with any agent name you type in. Contact us if the wrong agent is shown.

Information we create

When our team works on your request, we record its status and our notes about our conversations with you.

Cookies

When you scan a Priority Access card, this website sets (or renews) two cookies on your device:

pa_refExpires 90 days after your most recent scan

Remembers which agent's card you scanned, so that a consultation request you send later is credited to that agent.

pa_vidExpires 90 days after your most recent scan

A random identifier that lets us count unique visitors. We store it with each scan and with any consultation request you send from this browser, which connects your request to your scans. The cookie itself does not contain your name or contact details.

Both cookies are first-party (set by this website only) and HttpOnly (the page's scripts cannot read them), and neither is used for advertising. This website does not use advertising or third-party analytics trackers.

How we use information

• To respond to your consultation request by phone or email.
• To email you a confirmation that we received your request. We send it to the email address you gave us, and it may name the real estate agent who referred you (the agent credited through their card, or the agent name you entered in the form). We send at most one confirmation to the same address in any 24 hours. To keep to that limit we briefly keep a scrambled (hashed) version of the address and the time we emailed it, and we clear these records out as new requests come in, once they are more than a day old.
• To credit the real estate agent who referred you.
• To get your request to the right person on our team quickly. If you arrived through a real estate agent's Priority Access card or referral link, we email your request (your name, phone number, email address, property address and any message, with that agent's name) to the work email address of the Mr. Short Sale team member who works with that agent. An agent name you only type into the form does not trigger this email.
• To understand how the program is performing. Scan details (time, device type, operating system, browser and approximate location) are shown only in a separate area that only the company's owners can open after signing in; our sales team's accounts cannot. That area shows totals and a list of individual recent scans, including whether the browser that scanned later sent a consultation request. It never shows your name, contact details or property address.
• To protect this website from spam and abuse. We use IP addresses in memory for a short time (usually about 10 minutes) to limit repeated form submissions, and we do not store them in our database. Like most websites, our hosting provider's request logs record the IP address of each visit, including card scans.

How we share information

• Service providers that host this website and our database and send our email for us, under contract.
• The real estate agent credited with referring you. We may share your name, contact details, property address and the progress of your request with that agent so they can continue to help you. If you don't want us to share your request with that agent, tell us.
• Legal reasons: when the law requires it, or to protect the rights, property or safety of Mr. Short Sale, our clients or others.
• Business transfers: if Mr. Short Sale is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction.

We do not sell your personal information and do not share it for cross-context behavioral advertising.

How long we keep information

We keep consultation requests, scan records and our notes for as long as we need them for the purposes described in this policy and for legal and business record keeping, or until you ask us to delete them. We do not currently delete them automatically. The only exception is the short-lived record we keep to limit confirmation emails, described above.

Your choices

• Access, correct or delete your information by contacting us.
• Ask us to stop contacting you at any time.
• Clear or block cookies in your browser settings. If you do, we may not be able to credit the agent who referred you.

Depending on where you live, you may have additional rights under applicable privacy laws; contact us to exercise them.

Security

We use reasonable measures to protect your information, and each team member must sign in with their own account to see consultation requests. No method of sending or storing information is 100% secure, so we cannot guarantee absolute security.

Children

This website is not directed to children under 18, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page.
